The Accounting and Operations Coordinator (Coordinator) is an essential member of the Foundation and Advancement Services Team (FAST) responsible for supporting the accounting, finance, and operations needs of the department. The Coordinator reports directly to the Assistant Controller, and assists in all aspects of accounting, fixed asset maintenance, campus-wide reporting, administrative and other support while maintaining high level professionalism in supporting team members, campus partners and vendors.

Duties/Responsibilities

Accounting

  • Manages accounts payable, remote deposits, and positive pay
  • Enters data into Financial Edge (FE), including invoices, W9s, new vendors and updates
  • Provides support for fund management, including setup and updates within information systems
  • Approves and or manages University transactions that will be allocated to the foundation
  • Manages the foundations corporate card program includes coding and journal entries for credit card transactions
  • Assists and serves as the backup for posting and reconciling all contribution revenue from the donor database into the foundation's financial accounting system
  • Assists with journal entries and reconciling accounts for the accounting team
  • Assists the finance team in preparing documents for the annual audit
  • Manages annual tax reporting of 1099s and W2G forms
  • Coordinates and manages quarterly Enterprise Zone administration
  • Assists with Colorado Rockies 50/50 Raffle administration, and other accounting needs, as necessary
  • Checks bank accounts regularly for Automated Clearing House (ACH) transactions
  • Assists with special accounting and finance projects as needed

Operations

  • Monitors the Foundation email accounts and ensures that requests are completed, organized and/or assigned to others
  • Assists with tasks associated with the maintenance of the Foundation's fixed assets, sculptures, art, etc.
  • Coordinates and manages annual multi-state charitable registrations
  • Maintains a comprehensive document of key university departments to provide regular FE and Raiser's Edge (RE) reporting
  • Assists with grant coordination including acquiring signatures and final documents, as well as maintaining proper storage of documents/documentation
  • Assists or may serve as a project manager on multi year grants and complex gifts
  • Manages monthly maintenance and report distribution out of RE and FE for university partners, including discretionary reports
  • Collects and manages confidentiality agreements related to information systems access of sensitive information
  • Assists with special data projects as needed

Other Support - 10%

  • Provides scheduling and administrative support to the CFOO, including the finance team and office manager
  • Prepares agendas and notes for team meetings
  • Records storage and maintenance including physical files and data files within SharePoint and Drives
  • Oversees the storage, updates and sharing of UA forms/templates
  • Performs other duties as assigned

Required Qualifications

  • Bachelor's degree from an accredited institution of higher education, or the equivalent combination of education and experience providing accounting and data coordination, reporting and support is required (one year of education is equal to two years of experience)
  • Experience using accounting software
  • CRM database experience
  • Ability to work independently to solve complex problems and be a resource for colleagues in the department
  • Excellent customer service, people and verbal and written communication skills
  • Self-starter and solutions-oriented
  • Attention to detail and good time management
  • Strong skills in Microsoft Office (Word, Excel, Outlook, Teams and PowerPoint) & Zoom
  • Experience working in collaboration with others

Preferred Qualifications

  • Bachelor's degree in Business, Accounting, or Finance
  • Experience with Blackbaud software (Financial Edge, Raiser's edge) or similar fundraising software
  • Experience using Workday software, Oracale, or SAP
  • Experience working for an institution of higher education
  • Experience in general office support

Work Hours

40 hours per week; Monday - Friday; hybrid, 3 days required in the office weekly

Salary for Announcement

The anticipated hiring range for this position is $45,300- $60,000.

The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.

The above salary range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.
